How to Set Up Facilities and Reservations

Offer shared facilities like a laundry room or clubhouse. Set opening hours and let residents reserve a time slot from their portal.

Facilities let residents reserve time in shared amenities. You set the available days, opening hours and slot length, then choose whether bookings are confirmed immediately or need management approval.

Create a facility

  1. On Home, tap Facilities, then the settings icon to open Manage Facilities.
  2. On the Facilities tab, tap the plus icon. If the list is empty, use Add Facility.
  3. In New facility, select the property if prompted and enter Name.
  4. Add a Description (optional), including any rules residents need to see before booking.
  5. Choose Slot length, set Requires approval, and review Open hours.
  6. Tap Create facility.

Check the starting settings

  • Slot length: choose 30, 60 or 120 minutes. A new facility starts at 60 minutes.
  • Requires approval: off by default, so new bookings are confirmed immediately when available.
  • Open hours: the form starts with Monday through Saturday open from 09:00 to 21:00 and Sunday closed.

Use 24-hour times and keep each day's closing time after its opening time. A closed day has no bookable slots. Review the defaults before saving; they are not a schedule inferred from your property.

Review booking requests

  1. Open Manage Facilities and select Approvals. Its label includes the number of pending requests when there are any.
  2. Check the facility, resident and requested time.
  3. Tap Approve to confirm the request.
  4. To refuse it instead, tap Decline. In Decline reservation, add a Reason (optional) and tap Decline.

Both pending and confirmed reservations block their time slot. The server checks availability again when approving. A resident receives the decision, including a decline reason when one is supplied.

Edit or hide a facility

Tap the pencil icon on a facility card to open Edit facility. Update its settings and tap Save changes.

  • Hide: make the facility inactive so it stops accepting reservations.
  • Show: make an inactive facility available again.
  • Delete: remove a facility with no reservation records. If reservations exist, it is made inactive instead so its history is retained.

Good to know

  • Landlords and property managers can manage facilities only within their property access. An expired or canceled plan blocks facility setup and approval changes.
  • Residents book the available slots; they do not choose a custom reservation length.
